How Booking Works

Last Updated: August 16, 2026 This page is a plain summary of how booking, payment, and cancellations work with us. For the full legal terms, see our Terms & Conditions.

How to Book

You can book through our website, by email, or through a travel agent. A 20% deposit secures your spot. The remaining balance is due at least 60 days before your trip starts.

If You Need to Cancel

  • More than 60 days out: full deposit refund.
  • 30 to 60 days out: deposit is non-refundable.
  • Less than 30 days out: full trip cost is non-refundable.
That's why we strongly recommend travel insurance that covers trip cancellation. Plans change, and insurance is what keeps a change of plans from becoming a real financial hit.

Last-Minute Bookings

Space permitting, you can book as late as 7 days before departure. Full payment is required right away, and it's non-refundable.

Changing Your Dates

Plans change, and that's fine. Email us at least 30 days before your trip starts and let us know what's going on. Your first date change is free. Any change after that, including transferring your spot to someone else, costs $200 per person.

How to Pay

We accept WeTravel, bank transfer, and credit card. If you pay by bank transfer, any bank fees are on you, not us.

Budgeting for Flight Delays

Flights into mountain airstrips like Lukla get delayed by weather often, sometimes for several days in a row. We recommend setting aside at least $500 per person in case a helicopter is needed to keep your itinerary on track. Good travel insurance may reimburse this cost, and we'll give you the receipts and paperwork to help with your claim.

Travel Insurance

Travel insurance is required to book with us. It needs to cover medical costs, helicopter rescue, emergency evacuation, trip cancellation, and weather delays. You'll need to show proof of coverage before your trip starts.
