Effective Date: August 14, 2026
These are the rules for booking a trip with Nepal Outdoor Expeditions. "We" and "us" means Nepal Outdoor Expeditions. "You" means the person booking the trip.
By booking with us, you agree to these rules.
1. Booking Your Trip
You can book on our website, by email, or through a travel agent. If you pay in a currency other than US dollars, we will convert it to USD at the exchange rate on the day you pay.
To book a trip, you pay a deposit of 20% of the trip price. You pay the rest at least 60 days before your trip starts.
2. Cancelling Your Trip
- Cancel more than 60 days before your trip: you get your full deposit back.
- Cancel 30 to 60 days before your trip: you lose your deposit.
- Cancel less than 30 days before your trip: you lose the full trip price.
3. Booking at the Last Minute
You can still book up to 7 days before a trip starts, if there's space. You must pay the full price right away, and this payment cannot be refunded.
4. How to Pay
You can pay us through WeTravel, by bank transfer, or by credit card. If you pay by bank transfer, you pay any bank fees.
5. Changing Your Trip Date
Need to change your dates? Email us at least 30 days before your trip starts and tell us why.
You can change your date once for free, as long as you ask at least 30 days before your trip. After that first free change, we charge $200 per person for any more date changes, or if you want to give your spot to someone else. If you give your spot to someone else, it's your job to find that person.
6. If You Don't Finish Your Trip
If you have to stop your trip early for any reason, we cannot refund you for meals, hotels, or anything else you didn't use. If you break the law during the trip and have to leave, we also cannot refund you.
7. Getting Your Money Back
All our prices are in US dollars. You must pay in full before your trip starts. We give refunds based on the cancellation rules in Section 2. If your trip is cancelled and you need to make an insurance claim, we will give you receipts and paperwork to help.
8. Passport, Visa, and Permits
Your passport must still be valid for at least 6 months after your trip ends.
We arrange your trekking permits for you, like your TIMS card and park entry fees. You must arrange your own Nepal visa. You can get a visa from a Nepali embassy before you travel, or when you land at Kathmandu airport. The visa costs money, and that cost is yours to pay.
9. Things We Can't Control
Sometimes trips change because of things we can't control. This includes bad weather, strikes, road closures, protests, earthquakes, landslides, floods, avalanches, sickness, and flight delays or cancellations.
If any of these happen, any extra costs are yours to pay. This is why we ask you to get travel insurance.
10. The Risks of Trekking
Trekking and climbing in the mountains is not risk-free. Here are some of the real risks:
- Altitude sickness. Going high up in the mountains can make you sick. In rare cases, it can be very dangerous.
- Slow rescues. A helicopter rescue can be delayed by bad weather, or might not be possible at all in some places. Your insurance may not cover the full cost.
- Dangerous ground. This can include landslides, narrow trails, ice, ropes, river crossings, and sudden bad weather.
- Accidents, illness, injury, and other things nature throws at us.
When you book with us, you understand these risks and accept them. You agree that you will not hold Nepal Outdoor Expeditions, our guides, or our staff responsible if something goes wrong because of these risks.
11. The Most We Will Pay If Something Goes Wrong
If we are ever found responsible for a problem with your trip, the most we will pay you back is the amount you paid us for that trip.
12. Travel Insurance
You must have travel insurance to book with us. Your insurance should cover:
- Medical costs
- Helicopter rescue and medical flights
- Getting you home if there's an emergency
- Trip cancellation
- Delays from weather
- Natural disasters
- Stolen or lost bags and gear
It's your job to make sure your insurance covers all of this. We are not responsible for any cost your insurance doesn't cover. You need to show us proof of insurance before your trip starts.
13. Flight Delays and Helicopters
Flights to mountain airstrips, like Lukla, get delayed or cancelled often because of weather. We can't control this, and we're not responsible for the extra costs it causes.
We suggest you leave 1 to 2 extra days free in your travel plans, especially for Everest area treks. This way, a flight delay won't make you miss your flight home.
If a flight delay means you need to take a helicopter instead, you pay for this yourself. We suggest keeping at least $500 ready for this, per person. Your travel insurance might pay you back for this later. We will give you receipts and paperwork to help with your insurance claim.
14. If Your Trip Has to Change
If we have to cancel or change your trip because of something in Section 9, we will offer you a different trip of the same value, or let you change your date. If you pick a trip that costs more, you pay the difference.
We may change our trip prices at any time.
15. Staying Healthy and Fit
You need to be healthy and fit enough for the trip you book. We suggest seeing a doctor before you travel to high altitude. Tell us about any health conditions before you book. Walking times in our trip plans are just averages — your own time may be faster or slower. If we don't think you're fit enough for a trip, we can say no to letting you join.
16. Listening to Your Guide
Our guides keep the group safe. They can change the plan, slow down, stop, or send someone home if it's not safe to continue. You agree to follow your guide's instructions at all times.
17. Behaving Well on Your Trip
If someone behaves badly — for example, hurting others, damaging things, or breaking the law — we can send them home right away. We will not give a refund in this case, and that person pays for any damage they caused. Our decision on this is final.
18. Photos and Videos
When you join a trip with us, we may take photos and videos of you. We can use these to promote our company, on our website, social media, and in ads. We don't need to ask you again or pay you to use them.
19. Children on Our Trips
Anyone under 16 years old must travel with a parent or guardian.
20. If Something Goes Wrong on Your Trip
If you have a problem during your trip, tell our staff right away so we can help fix it as soon as possible.
21. Booking Through Someone Else
These rules apply when you book directly with us. If you book through a travel agent or another company, their rules apply too, on top of ours.
22. Your Personal Information
We keep your personal information private. We only use it to plan and run your trip. You can read more in our
Privacy Policy.
23. Nepal Law
Our office is in Kathmandu, Nepal. These rules follow the laws of Nepal. If there's ever a legal dispute, it will be handled in a Nepali court — Kathmandu District Court, Patan High Court, or the Supreme Court. Neither of us will take the dispute to a court in another country.
Using Our Website
The rules below are about using our website, separate from the trip rules above.
24. Who Can Use This Site
By using this website, you say that you're old enough and able to agree to these rules. You won't use this site to do anything illegal.
25. Website Content
The information on this site is for general use. We try to keep it correct, but we're not responsible if something is out of date. We can update the site at any time without telling you first.
26. Other Websites We Link To
We sometimes link to other websites. We're not responsible for what's on those sites. Check their own rules before you buy anything from them.
27. Things You Can't Do on Our Site
Don't use our site to spam people, hack anything, or break someone else's rights.
28. No Extra Promises
We give you this website as it is, with no extra promises. We're not responsible for problems caused by using the website itself. This is different from Sections 10 and 11 above, which are about your actual trip.
29. Protecting Us From Claims
If someone makes a claim against us because of how you used this website or broke these rules, you agree to cover us for that.
30. If One Rule Doesn't Work
If a court says one part of these rules can't be used, the rest of the rules still apply as normal.
